This article provides you with information about enabling access permissions for Channel Folders, Files, and Calendars.

Happeo’s Advanced User Authentication ensures that your Channel Folders and Calendars uphold the utmost security. This means that Channel Editors and Participants will need to request access to view Channel Folders and Calendars.

Happeo uses a hybrid user authentication method (server and client-side integration model), where access to authentication tokens on Happeo’s end is impossible. This is to maintain a secure way of handling your data.

Getting invited to join

Folders and Files

Owners and Editors

  • Channel Owners and Editors can add, edit, and remove a Folder and Files from the Channel
  • Access levels and promotions (i.e. promoting or demoting between Participants and Editors) can and have to be managed from the Channel or Google Drive
  • For instance, if a Channel Participant is promoted to an Editor in Happeo, we upgrade their permissions to the Channel Folder in Google or Microsoft from "Read" to "Write." On the other hand, if their permissions are adjusted manually in Google or Microsoft, it doesn't affect their Channel membership role
    • For example, if a user is a Participant in a Channel, and they are given permission to edit a Channel Folder from Google or Microsoft, the user will remain a Participant in the Channel while having editing privileges to the Channel Folder (despite not being an Editor)

Participants

  • Invited users will have viewing permissions to Folders and Files by default
  • Participants cannot add or edit existing files in the Channel Folder or Important Files Widget

Calendar

Owners and Editors

  • Channel Owners and Editors can add and edit a Channel Calendar, as well as add calendar events

  • After adding a calendar to a Channel, when Channel Owners and Editors add new members or groups, a modal will be displayed asking to share (with viewing rights) the calendar with other members

  • Channel Owners and Editors can promote Channel Participants or Groups to Editors. Promotions have to be done manually from the Channel or Google Calendar / Outlook Calendar

Participants

For the first time only

  • Participants will be seeing a “You have no access to calendar” state
    • To get access, Participants will have to click “Open link to get access”
    • The page will be redirected to their own Google calendar page
    • Once the page loads, Participants will find a popup with the Channel Calendar’s name where they can “add” it
    • When they click “add,” the Participants will have viewing rights to the Channel’s Calendar 
  • After a Participant adds a calendar from their Google Calendar, once they refresh the page, the calendar will be displayed normally with all existing events (if there are any)

Folders and Files

Owners

  • Channel Owners will receive an email that a user has requested access to the Channel Folder, where they can choose to provide the access level they deem fit (i.e. viewing or edit permissions)

Participants

  • Invited users will have viewing permissions to Folders and Files
  • Participants cannot add or edit existing files in the Channel Folder or Important Files Widget

Calendar

Requesting to join a Channel

  • Channel Owners will get an email that a user has asked to join a Channel. Granting access can be done through the email or from Happeo
  • On joining acceptance, Channel Owners will be granting viewing rights by default to the new joiner(s)
  • An email will be sent to the new joiner that they have been granted viewing rights on the Channel Calendar if there is one
  • Currently, we do not send the same email for folders but view rights are also granted by default

Folders and Files

Participants

  • Participants will get viewing rights by default, not editing rights

Calendar

Participants

  • Participants will get viewing rights by default, not editing rights
  • Participants will not be able to add or edit Calendar events
