This article explains how to use Page Group Templates and Page Templates in Happeo to streamline intranet content creation, including their creation, application, and management.

Pages 2.0 refers to the new version of Happeo Pages, released on April 2, 2025. All Happeo accounts created from this date onward use the new page editor by default.

What are Page Group and Page Templates?

Page Group and Page Templates in Happeo streamline the creation and management of your intranet content. 

Page group templates act as blueprints for an entire group of pages. They are pre-defined layouts and structures that contain various pages, sections and widgets within a page group. By creating a single page group template, you can quickly and consistently build multiple page groups across your intranet, saving significant time and effort.

Page templates, on the other hand, focus on the design and layouts of individual pages. They provide a pre-defined structure for each page, including the placement of elements like sections, widgets, and headings – which can then be added to any page group.

A key difference lies in their scope. Page group templates address the high-level structure of a collection of pages, while page templates focus on the specific design and layout of individual pages within that structure.

Template permissions

Page group and page template permissions in Happeo dictate what users can do with pre-designed structures for creating page groups and pages. These permissions control actions like creating new page groups from templates, adding pages to existing groups using templates, and managing the templates themselves (editing, sharing, duplicating, archiving).

How to use a page group or page template from the Pages menu

Note: You must be an admin or have permission to create pages.

To use a page group template:

  1. Navigate to the Pages menu from Happeo’s main navigation.
  2. Click the + button at the top right.
  3. Click Create a 2.0 Page Group.
  4. Select Choose a Template.
  5. Filter between the following:
    1. My Templates – Created by you, shared by you and shared with you.
    2. Company Templates – Available for all users within your organization. Your platform admin manages company templates.
    3. Default Templates – Templates available by default and for specific use cases (e.g. brand guidelines, employee handbook, etc). They function just like company templates, and my templates.
  6. Click All, Page groups or Pages from the top navigation to filter through the types of templates.
  7. Click Preview to see what the page group looks like.
  8. Choose from the following options:
    1. Use pre-filled – Retains all existing content within the template, including text, widget contents, and any other elements.
    2. (Only available for page groups) Use blank – Maintains the overall structure and layout of the template, such as sections, widgets, and their positions. However, it removes all existing content from the widgets, creating a blank canvas within the same framework.

You will then be taken to the page editor where you can begin building your page!

Note: When a single page template is selected, it will be used to create a new page group. The selected page will become the landing page within this newly created page group.

How to use a page template from the page editor

Note: You must be an admin, page owner, or editor to use a page template.

  1. Navigate to a page group from the Pages menu in Happeo’s main navigation.
  2. Click the pencil icon to enter the page editor.
  3. Go to Pages.
  4. Click Add page.
  5. Select Choose a Template.
  6. (Optional): Click Preview to see what the page template looks like.
  7. Click Use pre-filled

The page template will then be applied to your page group, with “Page template” included in the page name. To change the page name:

  1. Within the page editor, go to Pages on the left-hand navigation.
  2. Hover over the page and click the three dots on the right of it.
  3. Click Manage.
  4. Type in the new page name under Page name.
  5. Click Save.

How to create a page group template

Note: You must be an admin, page group owner, or editor to create a page group template.

To create a page group template:

  1. Navigate to a page group from the Pages menu in Happeo’s main navigation.
  2. Click the pencil icon to enter the page editor.
  3. Go to Settings.
  4. Click Save Page Group as Template.
  5. Name your template.
  6. (Optional): Add a template description.
  7. Tick the boxes next to the pages you want to include in the template.
    1. Note: Ensure all selected pages are already published. Unpublished pages will not be included in the template.
  8. Click Create template.

Visibility: When you create a template, it will initially only be accessible to you. To allow other users to use this template, you will need to share it through the template manager. Learn more in the section below titled “How to share a template.”

Note: You can only create one page group template from a specific page group. Once a template is created, the option to create another from the same page group is disabled. To create a new template from the same page group, you must first archive the existing template in the template manager. See the section “How to archive a template” below for more information.

How to create a page template

Note: You must be an admin, page group owner, or editor to create a page template.

To create a page template:

  1. Navigate to a page group from the Page navigation in Happeo’s main menu.
  2. Click the pencil icon to enter the page editor.
  3. Go to Pages.
  4. Hover over a page or subpage and click the three dots.
    1. Please ensure that the page or subpage is already published.
  5. Click Save Page as Template.
  6. Name your template.
  7. (Optional): Add a template description.
  8. Click Create template.

Visibility: When you create a template, it will initially only be accessible to you. To allow other users to use this template, you will need to share it through the template manager. Learn more in the section below titled “How to share a template.”

How to edit a template

To edit a page group template or page template:

  1. Go to the Pages menu from Happeo’s main navigation.
  2. Click Manage Templates.
  3. Go to My Templates.
  4. Use the filters to find the specific page or page group you want to edit.
  5. Hover over the page group or page you want to edit and click Edit template (pencil icon).
  6. Make the necessary edits.
    1. Your changes will be saved automatically.
  7. (Optional): Click View to see what your template will look like outside the page editor.

How to share a template

To share a page group template or page template that you have created or have editing permissions for:

  1. Go to the Pages menu from Happeo’s main navigation.
  2. Click Manage Templates.
  3. Go to My Templates.
  4. Use the filters to find the specific page or page group you want to share.
  5. Hover over the page group or page you want to share and click Share template.
  6. Click Share with selected groups or people.
  7. Search and click on users or groups.
  8. Edit their permissions.
    1. Can edit.
    2. Can view.

How to copy a template

To copy a page group template or page template that you have created or has been shared with you:

  1. Go to the Pages menu from Happeo’s main navigation.
  2. Click Manage Templates.
  3. Go to My Templates.
  4. Use the filters to find the specific page or page group you want to copy.
  5. Hover over the page group or page you want to copy and click the three dots.
  6. Click Duplicate.

A copy of the template will then be made with the word “copy” next to its name.

How to promote a template to a company template

As an admin, you can promote page group templates and page templates to “company templates” and make them available to your organization for others to use.

Note: To promote a template you did not create, it must first be shared with you with editing permission. You can find templates shared with you in Manage Templates > My Templates > Shared with me.

To promote a template to a company template:

  1. Go to the Pages menu from Happeo’s main navigation.
  2. Click Manage Templates.
  3. Go to My Templates.
  4. Use the filters to find the specific page group or page you want to promote.
  5. Hover over the page group or page you want to promote and click Share template.
  6. Click Promote to Company Templates.
  7. Confirm promotion by clicking Promote template.

All users in your environment can now access the page group template or page template under Company Templates.

How to archive and unarchive a template

Archive a template

To archive a page group template or page template that you have created or you have editing permission for:

  1. Go to the Pages menu from Happeo’s main navigation.
  2. Click Manage Templates.
  3. Go to My Templates.
  4. Use the filters to find the specific page group or page you want to archive.
  5. Hover over the page group or page you want to edit and click the three dots.
  6. Click Archive.
  7. Confirm archival by clicking Archive template.

Unarchive template

To unarchive a page group template or page template that you have created or you have editing permission for:

  1. Go to the Pages menu from Happeo’s main navigation.
  2. Click Manage Templates.
  3. Go to My Templates.
  4. Click Archived from the filters.
  5. Hover over the page group or page you want to unarchive.
  6. Click Restore template (rewind button).
  7. Confirm archival by clicking Archive template.

The restored template can then be found in the Personal, Shared by me, or Shared with me tabs.

Sharing settings for unarchived templates are preserved:

  • If a template was shared with others before being archived, those users will be able to access it in 'Manage Templates' after you unarchive it.
  • However, if a template is archived, shared users (with viewing permission) can no longer find it.

FAQ

If I edit a page group that has already been created into a page group template, will the edits be automatically saved in the already created page group template?

No, editing an existing page group will not automatically update the corresponding page group template. To modify a page group template, you must directly edit the template itself.

Consider the template as a separate entity or version of the page group.

What happens if I delete a page group created from a template?

Deleting a page group created from a template will only delete that specific instance of the page group. The original template will remain unaffected and can still be used to create new page groups.

Can I use different page templates within the same page group?

Yes. You can use different page templates for different pages within the same page group. 

What happens if I edit a template already applied in page groups?

If you edit a template already applied to page groups or individual pages, only the template itself will be updated.
