This article explains how to add and use hashtags across Channels, Pages, and Search to keep your content organized and easy to find.

1. Overview

Hashtags help you and your team organize content across Channels and Pages so it stays findable long after it's published. When a post, page, or channel is tagged, anyone searching that hashtag can pull up all related content in one place, reducing the need to scroll back through channels or ask colleagues where something was shared.

2. Use cases

  • Keeping campaign content findable across a busy channel: When a Marketing team is running an active campaign, posts accumulate quickly and important updates get buried. Tagging every related post with a shared hashtag, such as #Q3Launch, means anyone can search that tag and pull up the full thread instantly, without scrolling back through weeks of activity.
  • Reducing repeated questions to HR: Policy updates and announcements are often shared once and then difficult to locate again. When HR tags pages and channel posts with a consistent hashtag like #HRPolicies, employees across locations can find relevant information on their own at any time, reducing the volume of repeat questions the HR team has to field.
  • Connecting work across teams on shared initiatives: Cross-functional projects often span multiple channels and page groups, making it hard to get a full picture of progress in one place. A shared hashtag ties together posts and pages from across the platform into a single, searchable thread, giving everyone involved a clear view of activity regardless of where it was published.

3. Before you begin

Before adding hashtags, keep the following in mind:

  • All users with posting and/or commenting permission can add hashtags to posts and comments in channels.
  • Channel editors and admins can add hashtags to a channel via the Channel Settings.
  • Page editors, owners, and admins can add hashtags to pages via the page editor menu.
  • Hashtags are searchable across the platform by all users who have access to the tagged content.
  • Pages support a maximum of 24 tags, each up to 64 characters long. Publishing will fail if either limit is exceeded, so review your tags before publishing.

🗒️ Note: There is currently no way to remove specific hashtags from the recommendation engine (recommended hashtags based on the context). Hashtags that have been used in the past will continue to appear as suggestions.


4. How to add hashtags

Add hashtags to posts and comments

  1. Open a channel and create a new post or comment.
  2. Type # followed by your keyword directly in the text field, or wait for the hashtag recommendation bar to appear at the bottom of the post box.
  3. If you type a hashtag manually, previously used hashtags will be suggested that share the same first two letters. Select a suggestion to add it to your post.
  4. Publish your post or comment.

🗒️ Note: The usage count shown next to each hashtag suggestion is only visible to you.


Add hashtags to a channel

  1. Navigate to the channel you want to tag.
  2. Open the Channel Settings.
  3. Locate the hashtag field and type your hashtag. You’ll be shown how many times that tag has been used across your environment.
  4. Select the hashtag to attach it to the channel.
  5. Your changes will be saved automatically. 

The hashtags will appear on the right-hand side of the Discussion tab under “About this channel”.


Add hashtags to a page

The steps differ depending on which version of Pages your organization uses.

Pages 2.0

  1. Open the page you want to tag.
  2. Click the pencil icon in the top right corner to open the editor menu.
  3. Go to the Pages tab.
  4. Click the three-dot menu next to the page you want to tag.
  5. Select Manage.
  6. Under Add tag, type a hashtag or browse the list of suggestions.
  7. Add up to 24 tags, each no longer than 64 characters.
  8. Publish the page.

Legacy Pages

  1. Open the page you want to tag.
  2. Click the pencil icon in the top right corner to open the editor menu.
  3. Locate the Tags field.
  4. Type a hashtag or browse the list of suggestions.
  5. Add up to 24 tags, each no longer than 64 characters.
  6. Publish the page.

⚠️ Important: If you exceed the tag count or character limit, publishing will fail. Remove or shorten tags before trying again.


Search by hashtag

  1. Click into the search bar from the main navigation.
  2. Type # followed by the keyword you want to find (for example, #marketing).
  3. All content tagged with that hashtag, including posts, comments, and pages, will appear in the results.

5. Best practices

  • Agree on a tagging convention as a team: Inconsistent hashtags like #Q3launch and #Q3-launch fragment your content. Agree on a standard format before you start and share it with your team.
  • Keep hashtags short and specific: Broad tags like #HR return too many results to be useful. Tags like #OnboardingDocs or #SalesEnablement are easier to act on.
  • Use channel-level hashtags to set context: Attaching hashtags to a channel ensures all posts within it are consistently associated with the right topics and helps users understand the channel's scope at a glance.
  • Review hashtag usage periodically: Outdated or redundant tags accumulate over time. Review which tags are actively used and update pages and channels to reflect how your content has evolved.

6. Frequently asked questions

Can I search for hashtags across both pages and channels at the same time? 

Yes. Searching by hashtag in the search bar returns results from all content types across the platform, including posts, comments, and pages, as long as you have access to that content.

Who can see how many times a hashtag has been used? 

Usage counts in the hashtag recommendation engine are only visible to the person typing. Other users cannot see these counts.

Can admins delete or manage existing hashtags? 

Currently, there is no admin tool to delete or remove hashtags from the platform. Hashtags that have been used will continue to appear in recommendations.

Do hashtags affect how content appears in Search? 

Yes. Adding relevant hashtags improves discoverability. When users search for a hashtag, only content tagged with that exact hashtag will appear in those filtered results.
