This article outlines the permissions and actions available to users with different access levels when creating, managing, and using Page and Page Group Templates in Happeo.
Pages 2.0 refers to the new version of Happeo Pages, released on April 2, 2025. All Happeo accounts created from this date onward use the new page editor by default.
What are page group and page template permissions?
Page group and page template permissions in Happeo dictate what users can do with pre-designed structures for creating page groups and pages. These permissions control actions like creating new page groups from templates, adding pages to existing groups using templates, and managing the templates themselves (editing, sharing, duplicating, archiving).
The specific actions available depend on the user's general page creation or page group editing rights and their ownership or the sharing permissions granted on individual templates.
Page group template permissions
Think of page group templates as blueprints for creating groups of pages. What you can do with these blueprints depends on your permissions within Happeo.
Key permission: Page creation
- Who has it? Users with page creation permissions.
-
What does it allow?
- Creating new page groups using page group templates. You'll see the "+" icon in the Pages menu, which lets you start this process.
- Managing all page and page group templates (through Pages menu > Manage Templates). The options you see here will change based on your specific permissions.
- What happens if you don't have it? You won't see the "+" icon in the Pages menu and won't be able to create new page groups from templates. Even if you have editing rights to an existing page group, you still need page creation permissions to apply a page group template to it.
Managing page group templates
You can access and manage page group templates via the Pages menu > Manage Templates. The actions available to you depend on whether you own the template or have shared it with someone else.
If you own a page group template:
When you hover over your template, you'll see these options:
- Edit template: Modify the structure and content of the template.
- Share template: Allow other users or groups to view or edit your template.
- (Admins only) Promote to Company Templates: Make your template available to everyone in the organization.
- Share with selected groups or people: Grant specific access levels to individuals or groups.
- Duplicate template: Create a copy of your template.
- Archive template: Hide the template from general use (it can be restored later).
If a page group template is shared with you:
-
With editing permission: You'll see the following options when you hover over the template:
- Edit template
- Share template
- Share with selected groups or people
- Duplicate template
- Archive template
-
With viewing permission: You'll see this option:
- Duplicate template: You can create a copy of the template for your own use, but you cannot change the original shared template.
In summary
- Need to create new page groups from templates? You need page creation permissions.
- Want to manage templates? Go to Pages menu > Manage Templates.
-
What you can do with a template depends on:
- Whether you created it (you have ownership).
- The permission level granted to you if it was shared (editing or viewing).
Page template permissions
Page templates help you create individual pages with pre-defined structures and content. How you can access and use these templates depends on your permissions and where you're trying to use them.
Creating a new page group from a single page template
- Permission required: Page creation permissions.
- How it works: Users with page creation permissions will see the "+" icon in the Pages menu. Clicking this allows them to choose a page template as the starting point for a brand new page group.
- What happens if you don't have this permission? You won't see the "+" icon and therefore cannot initiate the creation of a new page group directly from a page template.
Adding a new page to an existing page group using a page template (within the page editor)
- Permission required: Page group editing permissions.
- How it works: If you have permission to edit an existing page group, you can add new pages to it using available page templates within the page editor. This means you don't need general page creation permissions to do this.
- Key takeaway: This allows collaboration within a page group, where editors can add content using templates even if they can't create entirely new page groups on their own.
Managing templates (in the template manager)
You can manage both page group and page templates by going to the Page menu (from Happeo’s main navigation) > Manage Templates. The actions you can take here depend on whether you own the template or if it has been shared with you (viewing or editing rights).
If you own a page template:
When you hover over your template, you'll see these options:
- Edit template: Modify the template's structure and content.
- Share template: Grant access to other users or groups (with viewing or editing rights).
- (Admins only) Promote to company templates: Make your template available to everyone in the organization.
- Share with selected groups or people: Provide specific access levels to individuals or teams.
- Duplicate template: Create a copy of your template.
- Archive template: Hide the template from general use (it can be restored later).
If a page template is shared with you:
-
With editing permission: You'll see the following options:
- Edit template
- Share template
- Share with selected groups or people
- Duplicate template
- Archive template
-
With viewing permission: You'll see this option:
- Duplicate template: You can create a copy for your own use, but not modify the original shared template.
In summary
- Creating a new page group from a template? Requires page creation permissions.
- Adding a new page to an existing group using a template? Requires page group editing permissions.
- Managing templates (edit, share, etc.)? Accessed via the Page menu > Manage Templates, and the available actions depend on your ownership or the sharing permissions granted to you.
