This article explains how to archive and restore page groups, pages, and subpages to keep your platform clean, searchable, and trustworthy while preserving content for future reference.
Pages 2.0 refers to the new version of Happeo Pages, released on April 2, 2025. All Happeo accounts created from this date onward use the new page editor by default.
1. Why archiving matters
As your organization grows, content naturally accumulates. Projects end, policies evolve, and teams change. Archiving helps you remove outdated or inactive content from everyday use while keeping it available for review, compliance, or future decisions in Admin Settings > Page Groups.
Archiving supports:
- Cleaner search results: Employees find current information without being distracted by outdated pages.
- Stronger knowledge governance: Content owners can retire page groups and pages responsibly while preserving them for audit, reference, or validation.
- Focused navigation: Pages navigation and page group structures stay relevant and easy to explore.
2. When to archive content
Consider archiving page groups or pages when:
- Projects complete: A project page is no longer actively referenced.
- Information becomes outdated: Policies, processes, or guidelines have been superseded by newer versions in different pages.
- Teams reorganize: Department structures change and old content no longer reflects current reality.
- Seasonal content expires: Event pages, campaign hubs, or time-specific information is no longer relevant.
- Testing or drafts: Experimental page groups are no longer needed.
đź’ˇ Tip: Review your content quarterly to identify page groups and pages that should be archived. This keeps your platform aligned with current operations and prevents search clutter.
3. What happens when you archive
For page groups
- The entire page group becomes hidden from all users, including owners.
- Content no longer appears in search results, the Pages Navigation, or through direct links (users see "This page is archived" if they attempt access).
- Analytics data tied to archived page groups will no longer surface in future reporting.
- All user permissions (viewing and editing rights) are temporarily removed and can only be restored by admins through Admin Settings → Page Groups.
For pages and subpages
- The content becomes hidden from all users except page owners and editors who can still access it through the page editor through restoration.
- Archived pages no longer appear in search results, the Pages Navigation, or bookmarks (users will see "This page is archived" if they try to access a direct link).
⚠️ Important: Archiving is not permanent deletion. Admins can restore archived content with original permissions preserved.
4. How to archive and restore
Archive a page or subpage
Who can do this: Page owners, editors, and platform admins.
For non-admins
- Navigate to the page group containing the page you want to archive.
- Click the pencil icon in the top right corner to open the page editor.
- In the left sidebar, click Pages.
- Find the page or subpage you want to archive, then click the three dots (•••) next to it.
- Select Archive.
A confirmation message will appear at the bottom left of your screen.
🗒️ Note: If your page group contains only one page, you cannot archive just that page. Instead, you'll need to archive the entire page group.
For admins
- Click your avatar and go to Admin Settings.
- Select Page Groups.
- Locate the relevant page using search or quick filters. You can expand page groups to reveal pages.
- Click the three dots (•••) next to the page or subpage.
- Select Archive.
- Confirm by clicking Archive Page.
Restore a page or subpage
Who can do this: Page owners, editors, and platform admins with admin mode enabled.
- Navigate to the page group where the archived page is located.
- Click the pencil icon in the top right corner to open the page editor.
- In the left sidebar, click Pages.
- At the bottom of the pages list, click Show archived pages.
- Find the page you want to restore and click the rewind icon next to it.
The page will be restored to its original location in the page structure.
⚠️ Important: Restored pages return in an unpublished state. You must publish the page before viewers can see it again. Until published, the page remains hidden from all users except page owners, editors, and admins with admin mode enabled.
- To publish the restored page:
- Select the restored page in the page editor.
- Click Publish in the top right corner.
Archive a page group
Who can do this: Page owners, editors, and platform admins.
Before you begin: If you are not an admin, make sure you are confident the page group should be archived before proceeding, as page group restoration is only available for admins.
For non-admins
- Navigate to the page group you want to archive.
- Click the pencil icon in the top right corner to open the page editor.
- In the left sidebar, click Settings.
- Select Archive page group.
- Confirm your decision by clicking Archive Page Group.
For admins
- Click your avatar and go to Admin Settings.
- Select Page Groups.
- Locate the relevant page group using search or quick filters.
- Click the three dots (•••) next to the page group.
- Select Archive.
- Confirm by clicking Archive Page Group.
Restore a page group
Who can do this: Only platform admins.
- Click your avatar in the top right corner and select Admin Settings.
- In the left menu, select Page Groups.
- Use the Quick filter and filter by Archived Page Groups.
- Find the page group you want to restore and click the three dots (•••) next to it.
- Select Restore.
- Confirm your decision by clicking Restore Page Group.
The page group will be restored with all original pages and settings preserved.
⚠️ Important: After a page group is restored, You must publish it before viewers can see it again. Until published, the page group remains hidden from all users except page owners, editors, and admins with admin mode enabled.
To publish the restored page group and all of its pages:
- Navigate to the page group and enter the page editor.
- Click the small arrow next to Publish in the top right corner.
- Click Publish all pages and confirm.
5. FAQ
What happens if I archive a page that has subpages?
When you archive a parent page, all of its subpages remain connected to that page structure. The entire tree of pages is archived together.
When you restore the parent page, all subpages are restored with it in their original hierarchy.
Can I archive individual subpages without archiving the parent page?
Yes. You can archive specific subpages while leaving the parent page and other subpages active. This gives you precise control over which content remains visible.
However, if you archive the parent page, all its subpages are automatically archived along with it.
What happens to the user rights of a page group that has been archived?
All users lose access when a page group is archived. To restore access, an admin must unarchive the page group through Admin Settings. The unarchived page group will only be visible to owners and editors until it's published.
