Learn how to add the Ask Widget to any page in a page group so your team can get instant answers from your intranet content, right where they need it.

1. Overview

The Ask Widget gives your team a visible, ready-to-use entry point into the AI Assistant, right on the page. Users can type a question and get an answer drawn directly from the page group's content, without navigating away or hunting through pages to find what they need.

It is especially valuable on busy, content-heavy page groups, where putting the assistant front and center helps people get to the right answer quickly. The widget also displays suggested questions based on the page group's content, so even users who are not sure what to ask have a helpful starting point.

2. Use cases

  • Make answers easy to reach on busy pages: When a page group covers a lot of ground, such as company policies, IT procedures, or onboarding materials, the Ask Widget gives people a direct way to ask a question rather than browsing through pages. Put it on the landing page and your team has what they need the moment they arrive.
  • Help new team members find answers on their own: New starters often have a lot of questions in their first few weeks. With the Ask Widget in place, they can get answers from the page group's content straight away, without needing to ask a colleague or wait for someone to respond.
  • Keep things moving without pulling in the same people repeatedly: When company information is easy to find, senior team members spend less time answering the same questions over and over. The widget makes it practical for anyone to self-serve, so the people who know the most can stay focused on their work.

3. Before you begin

  • The AI Assistant must be enabled for the page group. 
  • You need admin, page group owner, or page editor access to add widgets to a page. If you are unsure of your role, check with your intranet admin.
  • The widget will be visible to all users with access to the page once it is published. If you want to limit who can access certain content through the assistant, review page group permissions before adding the widget. 

🗒 Note: The Ask Widget only surfaces answers based on content the user already has permission to view. Users will never see answers drawn from pages they do not have access to.


4. How to add the Ask Widget

  1. Navigate to the page group where you want to add the widget.
  2. Open the page you want to place it on, then click the pencil icon (top-right) to enter the editor.
  3. Go to Widgets and add the Ask Widget to a section on the page.

  4. A preview of the widget will appear on the page, showing the chat bar and any suggested questions (if enabled).
  5. When you are ready, publish the page to make the widget visible to anyone who has access to the page.

🗒 Note: Once the Ask Widget is on a page, the Ask AI button that normally appears in the bottom-right corner of every page in the page group will no longer be visible on that specific page. The widget takes its place, giving your colleagues a prominent and visible way to reach the assistant directly on the page.

💡 Tip: Add the Ask Widget near the top of your page group's landing page. That way, your colleagues see it immediately and can get answers right from the start.


5. How to use the Ask Widget

Once the Ask Widget is on a page, using it takes seconds.

Type your question into the chat bar and click Ask. The AI Assistant will open on the right side of the screen with your question already loaded, and it will begin answering straight away. From there, you can ask follow-up questions and the assistant will use the context of your conversation to refine its answers.

If conversation starters are enabled, you will also see suggested questions appear in the widget. You can click any of these to send them instantly to the assistant to answer, without typing anything.

🗒 Note: Your chat history stays intact for your entire session, regardless of whether you typed your question manually or clicked a suggested one. The conversation carries over continuously until you click Reset discussion in the assistant panel.

6. How to manage the Ask Widget

You can update the widget's settings or appearance at any time.

  1. Open the page where the widget lives.
  2. Click the pencil icon (top-right) to enter the editor.
  3. Hover over the widget until it is highlighted in blue, then click the settings (gear) icon.
  4. Switch between the Configure and Styles tabs to adjust what the widget shows and how it looks.

Configure

  • Widget header: Toggle this on to add a title above the widget. A clear header, such as "Ask a question" or "Find an answer," helps your team understand what the widget is for at a glance.
  • Show assistant conversation starters: When enabled, the widget displays suggested questions based on the page group's content. These appear as clickable options, so users can get started without needing to type anything. The same suggested questions appear regardless of which page in the page group the widget is on.

Styles

If Brand Style Locking is enabled, the widget will follow your organization's brand guidelines automatically. If it is not enabled, you can customize the following:

  • Background color: Choose a background color defined in the activated Brand Style. A subtle contrast can help the widget stand out without pulling attention away from the rest of the page.
  • Background image: Add an image behind the widget for additional visual context.
  • Color theme: Adjust the widget's overall color scheme.
  • Padding: Adjust spacing (from set values) to control how much room surrounds the widget. More padding gives the widget breathing space; less creates a more compact look.
  • Custom padding: Enter a uniform value for all sides, or unlock the fields to adjust top, right, bottom, and left individually.
  • Border: Add a border around the widget. Customize the width, sides, and color to create visual separation from the rest of the page.
  • Shadow: Enable a shadow (small, medium, or large) for a layered effect that lifts the widget off the page slightly.
  • Round corners: Adjust the corner radius (0 to 100px). Higher values create softer, card-style edges; lower values keep the shape sharper.

7. Best practices

  • Add the widget to your page group's main landing page: The landing page is where most people start, so it is the most effective place for the widget to live. When the assistant is right there on arrival, people are more likely to use it instead of searching manually or asking a colleague.
  • Make sure the page group's content is accurate and up to date: The assistant's answers are only as good as the content behind them. A page group with clear, current, well-organized pages will consistently produce more useful answers than one with outdated or incomplete information.
  • Keep your page group focused on one topic or team area: The assistant works best when the page group has a clear scope, such as HR policies, IT support, or a specific project. When content is tightly organized around a defined subject, answers are more direct and reliable.

7. Frequently asked questions

What happens if the AI Assistant is disabled after the widget has been added?

The widget will still appear on the page, but clicking Ask will not trigger a response. To restore functionality, re-enable the AI Assistant for the page group. 

How is the Ask Widget different from the Ask AI button that already appears on every page in the page group?

Both open the AI Assistant, but the Ask Widget makes it a prominent, visible part of the page itself. Rather than a button in the corner, the widget places the chat bar front and center, so it is immediately obvious and easy to use. This is especially useful on content-heavy page groups where you want to encourage people to ask rather than browse.

Can I add the Ask Widget to more than one page in the same page group?

Yes. You can add the widget to as many pages as you like within the page group. That said, the landing page is usually the most impactful place to have it, since that is where most people start.

Does the assistant ever show answers from pages the user cannot access?

No. The assistant only surfaces answers from content the user has permission to view. If an answer cannot be found within the accessible pages of the page group and Search AI is enabled, the assistant will expand its search across the rest of your intranet, still within the user's permissions. If Search AI is not enabled and no answer is found in the accessible content, the assistant will let the user know.

Does the widget prevent the AI Assistant from only providing answers from the page it is on?

The widget allows the assistant to search across the entire page group, not just the page it lives on. So even if you have added the widget to just one page, the assistant will draw from all the pages in the page group when forming its answer. You do not need to add the widget to every page for it to have access to everything in the page group.

Will adding the widget to multiple pages in the same page group cause any issues?

No. The chat history follows you across the entire page group for your session. If you ask a question using the widget on one page, then navigate to another page in the same page group with the widget and ask a follow-up, both questions appear in the same conversation thread. Your full chat history stays intact across all pages in the page group until you click Reset discussion.
